Browser storage used: calculating...

Tip: Your draft auto-saves in this browser as you type. Use Export backup before clearing your browser data, switching devices, or handing the phone to someone else. Always keep your own PDF copy, and send a copy to your landlord in writing on the day of inspection when you can.

Property and people

Fill in what you know. The printed report shows exactly this, so spell names and addresses the way they appear on the lease.

Inspection type

Date and time are now separate fields, so a phone or browser that cannot fill a combined date-time control can still record the inspection. If the date is left blank, Review and the printed report will warn you instead of silently saying Not recorded.

Address

Landlord / property manager

Tenant(s)

Overall first impression

Property-wide photos

Use this for the building front, street view, parking, meters, or anything that does not belong to one room. These photos print right after the summary.

Dated notes log

Add dated notes during the tenancy, such as a leak reported, a repair requested, or a follow-up visit. Each entry prints in date order.

Contacts, heating, pets, notice, and deposits

Report ID: - quote this ID in emails to the landlord so the PDF, photos, and emails can be matched together.

Do not write lock codes, alarm codes, buzzer codes, Wi-Fi passwords, bank details, or account numbers anywhere in this report. Those belong in a private password manager, not in a document you send to a landlord.

Rooms, spaces, and photos

Work room by room. Every item gets a condition, a note, and as many photos as you need. Mark anything Poor or Damaged - it goes straight to the damage summary and the printed report. For townhouses, do not skip stairs, hallways, vents, ceilings, laundry, garage, and common spaces: landlords most often dispute those.

Start fast with a preset

Loading a preset adds rooms below. It never deletes rooms you already added. You can duplicate, move, or delete any room.

Photo tips, updated: tap Take photo to open the camera directly on a phone, or Choose photo(s) to pick from your gallery. You can also drop image files onto a room's drop zone on desktop. Photos are re-encoded in your browser as JPEG, which strips location data from the original file. Keep your original full-resolution photos on your phone or computer as well.

Add a room or space

Tip on photos: take a wide shot of the whole room first, then close-ups of every mark, stain, crack, dent, appliance label, and meter. Speak the room name if you also take video elsewhere - this report is for photos, and video files can be kept separately with the same date.

Meters, keys, appliances, and safety

Meter readings at inspection

Photograph each meter too, and attach the photo to the room nearest the meter or to the Basement / Garage room. A photo of the dial beats a typed number alone.

Safety checks - do these in person

Test, do not just look. Press the test button where you can.

Ontario safety checks - smoke alarms and carbon monoxide alarms

Ontario Fire Code: working smoke alarms are required on every storey and outside all sleeping areas. Carbon monoxide alarms are required adjacent to each sleeping area where there is a fuel-burning appliance, fireplace, or attached garage, and, since January 1, 2026, on every storey in covered homes. Landlords must install, maintain, and test alarms and give tenants the manufacturer instructions. Tenants must tell the landlord at once if an alarm is not working and must not disable one. This checklist is a factual record, not legal advice - check the current Fire Code and your municipal rules for your home type.

Safety warning: press test buttons only. Do not open an electrical panel cover, do not test gas appliances yourself, do not enter an attic or crawlspace, and do not move heavy appliances to look behind them. Note what you can see safely and photograph the alarm label instead.

Alarm inventory - one row per alarm

Photograph each alarm label. The expiry date is on the label and is often 10 years from manufacture for smoke alarms and 7 to 10 years for CO alarms, depending on the maker.

Appliances provided by the landlord - or not provided

This matters in Ontario: under the Residential Tenancies Act, section 20, and Ontario Regulation 517/06, section 40, appliances supplied by the landlord must be maintained in good repair and safely operable. Appliances listed include refrigerators, stoves, clothes washers, clothes dryers, dishwashers, and hot water tanks. If an appliance was never provided, or you brought your own, mark it that way here and mark its kitchen or laundry checklist item as Not provided or Tenant-owned, so it is never counted as Missing at move-out. Click Apply to checklist to copy Not provided statuses into the kitchen and laundry rooms.

Furniture provided by the landlord (furnished homes)

List only furniture that came with the home. Your own furniture does not belong in this list.

Pest and infestation log - document everything, in writing

Photograph evidence where you can do so safely, without touching droppings, nests, or live insects with bare hands, and without photographing other people. Note the date you first saw it, the date you told the landlord in writing, and every treatment. A landlord in Ontario must keep the home fit for habitation and free of pest conditions that are not caused by the tenant alone - keep this log with your written notices. If you see bed bugs, do not move infested furniture to another room or building, and ask the landlord in writing for professional treatment.

Move-out cleaning checklist

Tick what was actually done at move-out. This is separate from condition - a clean home with pre-existing damage is still a clean home.

Keys, remotes, and access devices handed over / returned

Appliances and major fixtures inventory

Include make and model or serial when it is visible on the label. Photograph the label - it settles "that was already old" disputes later.

Review, damages, and signatures

Damage and deficiency summary - auto-built from your rooms

Anything marked Poor, Damaged, or Missing appears here and in the printed report. Add a free-form deficiency below for anything that does not fit a room item, such as a building-wide issue.

Tenant comments and disagreements

Use this if you disagree with the landlord on any item. Write it plainly and factually. This box prints verbatim.

Tenant signature

Sign with mouse, finger, or stylus. Your signature never leaves this browser except in the PDF you print or save.

Landlord / representative signature

Tenant 2 signature (if there is a second tenant)

Witness signature (optional, strongly recommended)

Print / save as PDF

Click Generate, review the report below, then click Print / Save as PDF and choose Save as PDF in your browser's print dialog. That is the file to send to your landlord and keep for your records.

Printing tips: use portrait, turn on "Background graphics" if your photos look pale, and check that every photo page loaded before you save. A long report with many photos can take a few seconds to lay out.

Before you send it - tenant protection checklist

  • Every room has a wide photo, plus close-ups of damage.
  • Ceilings, vents, inside closets, under sinks, and behind doors are photographed, not just the pretty walls.
  • Meter photos, appliance labels, and smoke / CO alarm tests are recorded.
  • Pre-existing damage is marked Poor / Damaged at move-in, so it cannot be charged as new damage at move-out.
  • You, and ideally a witness, signed and dated it. If the landlord refused, that box is checked and the delivery method is written down.
  • You kept your own PDF and sent a copy to the landlord in writing on the inspection date.

This tool creates a factual record. It is not legal advice and does not replace your lease, local tenancy law, or advice from a lawyer, legal clinic, or tenant association. Rules and deadlines differ by province, state, and city - check the ones that apply to your tenancy.

Saved reports and help

Reports saved in this browser

Saved reports live only in this browser. They are not on the server and will not follow you to another device unless you export the .json file and import it there.

Use this on a shared or borrowed device. It deletes the current draft and every saved report in this browser. Export a backup first if you need to keep anything.

Landlord cover note - copy and paste

This short note is generated from your report. Copy it into your email when you send the PDF, so the delivery is in writing.

How to use this for move-in vs move-out protection

  1. At move-in: complete every room, photograph everything, mark pre-existing damage honestly, sign, and send the PDF to the landlord the same day. Keep proof you sent it.
  2. During the tenancy: export a backup .json after major changes, and add dated photos as new deficiencies appear.
  3. At move-out: click "Create move-out copy from this move-in" - it keeps the move-in conditions as a baseline, so the printed comparison shows what changed and what was already there.
  4. Comparison: in the printed report, the comparison section lists only items whose condition changed between move-in and move-out, so a dispute stays focused on real changes, not normal wear.

Accessibility

These settings stay in this browser only and do not change your report.

If the landlord claims damage at move-out - what to do next

  1. Compare the move-out report to the move-in report, item by item. Pre-existing damage and normal wear (faded paint, light scuffs, carpet wear in walking paths, small nail holes) are not new damage.
  2. Ask the landlord in writing for an itemized list, with photos, invoices, and receipts for each claim. Do not agree to a lump sum without that breakdown.
  3. Send your move-in PDF, move-out PDF, and proof you delivered the move-in report, in writing, and keep copies.
  4. If you cannot resolve it, get help from a local legal clinic, tenant association, or, in Ontario, the Landlord and Tenant Board. This list is general information, not legal advice.
  5. Keep your reports, photos, and originals until any dispute is fully resolved, then keep them a while longer if you have storage space.

Privacy and limits

  • No account, no server storage, no email sending from this app. If a future host adds those, that would be a different app - this version deliberately does not.
  • Photos are re-encoded in your browser as JPEG, which strips location data from the original file. Photo quality is selectable in Rooms and Photos. Keep original full-resolution photos on your phone or computer as well.
  • Browser storage has limits. Very large reports (hundreds of full photos) may hit localStorage limits - export a backup often, and split extremely long reports by printing in sections if needed.
  • Do not photograph other people, neighbours, children, private documents, mail, or belongings that are not part of the tenancy. Avoid faces and licence plates in room photos.
  • Do not enter lock codes, alarm codes, buzzer codes, Wi-Fi passwords, bank details, or account numbers in this report.
  • Safety: do not climb, do not enter attics or crawlspaces, do not open electrical panel covers, and do not test gas equipment. Note what you can see safely.
